What task management needs to do

Task management answers three questions: what needs doing, who’s doing it, and by when. Task management software is good when it keeps those three answers current without anyone reconciling lists.

That gets hard as soon as more than one tool is involved. The agency works in Asana, the client in Notion, you in Todoist. The usual fix: everyone switches. That takes weeks and rarely lasts.

Projects, Kanban boards and sections

Every project can be shown as a list or as a Kanban board. Sections structure the list and become the columns on the board. Move tasks and whole sections with drag and drop. Automatic projects collect tasks from several projects and lanes using a saved filter.

A task can live in several projects, each with its own section. If you move a task that has subtasks, Todowa asks whether the subtasks should come along.

Task management across tools

Todowa syncs tasks both ways with Asana, Notion, Todoist, Monday.com and Google Tasks: title, description, due date, completion status, focus and project. Complete something in one place and it’s complete everywhere.

If the same task is changed in two places, Todowa decides field by field, and the most recent change wins. The sync log shows what sync did. Nothing is ever permanently deleted in any connected tool.

Todowa runs on servers in Frankfurt am Main, Germany. It’s operated by Stillforward GmbH in Landshut, Germany. Credentials for connected tools are stored encrypted in the database.

Is the task management software free?

Yes, on the free plan: unlimited tasks, up to 20 projects and 5 members, 1 GB of storage for images and files, calendar, sync of up to 100 tasks a month, one AI teammate. Pro with unlimited sync costs €6 a month. The fair use policy applies.

Is Todowa suitable for teams?

Yes. Invite members to a shared workspace, assign tasks and comment on them. Each member connects their own tools.

How is Todowa different from a project management tool?

Todowa manages tasks and projects, but not budgets, resources or Gantt charts. If you need those, use a project management tool for them – and let Todowa sync the tasks from it.
