AI task manager
The AI task manager that reads your inbox and takes work off your plate
A new task lands in your inbox – and the AI already has a suggestion: draft the reply, create the next steps, check the quote. Every action is a button. One click and it’s done.

Suggestions without having to ask
Once you switch on AI suggestions, the AI looks at every new task in your inbox once – about a minute after it’s created, so tasks you schedule straight away aren’t checked. In a comment it says in a sentence or two what it’s about and suggests two to four actions it can take over for you.
Typical suggestions:
- draft a reply email or message
- break the task into steps and create them as subtasks
- pull together what earlier tasks know about the topic – with the source
- write a checklist, a plan or call notes
One click runs the action
Every suggested action is a button. Hover over it to see exactly what the AI will do. Click and it does it right away: the draft appears as a comment on the task, new steps as subtasks, additions below the description. The history shows who triggered the action.
Your own actions – and which ones should come up more often
If none of the suggestions fits, describe below them what the AI should do, such as “Write a summary for Jonas” or “Find the amount and payment deadline”. The AI does it right away.
Tick “Suggest more often for similar tasks” and Todowa remembers the action. For new tasks with similar words it then appears first among the suggestions. Saved actions are listed under Settings → AI, where you delete them with one click.
With your tools the AI can do more
Without further connections the AI works with what’s in Todowa. Connect your own tools via MCP – your docs, your ticket system or a calendar, for example – and give an AI coworker access, and the AI suggests actions with them too. That coworker then runs them in the background.
Anything that changes something is put to you first with “Run” and “Reject” if you’ve set it up that way. Reading is allowed right away.
And when you want to know something: ask your to-do system
Suggestions come for individual new tasks. For questions about all your tasks there’s the “Ask your to-do system” icon at the top of the app: “What’s due today?”, “What should I do next?”, “Which tasks have been lying around for a long time?” – typed or spoken. The AI answers with a list of matches or a short assessment with the relevant tasks, and on request finds duplicate tasks that you merge with one click.
Switch it on in the settings
AI suggestions stay off until you switch them on yourself:
- Settings → AI → “AI suggestions for new inbox tasks”
- or straight from the hint at the top of your inbox
- Only tasks added after that are checked – no old ones
Why we’re building Todowa
Your tasks belong to you – not to your tools.
Tasks are spread across many tools, and none of them sees the whole picture. We’re building Todowa as an AI-first to-do system that fits into the ones you already use: tasks show up in your Notion database, in Asana, in Todoist and in Google Calendar, and AI matches up what belongs together.
Our goal for TodowaWhat the AI assistant can’t do yet
So you know what you’re getting:
- Only with Todowa Pro; every check and every action counts towards your monthly AI allowance.
- Each task is checked exactly once. If you change it afterwards, no new suggestions come.
- Tasks with a due date, in the backlog and subtasks aren’t checked.
- The AI doesn’t do what only you can do – call, go somewhere, pay.
- The AI only sends emails through a connected tool that can do that; otherwise you get a draft.
Frequently asked questions
What does the AI assistant cost?
AI suggestions come with Todowa Pro. Checks and actions count towards your monthly AI allowance; once it’s used up, no new suggestions come until the first of the month.
What data does the AI get?
The task’s title, description, due date, project, subtasks and comments, plus thematically related earlier tasks. They go to Anthropic or, if you’ve entered one, your own AI endpoint. Details are in the privacy policy.
Does the AI do anything without me clicking?
It only writes the comment with the suggestions. An action only runs when you click its button.
Can I save my own actions?
Yes. Describe the action below the suggestions and tick “Suggest more often for similar tasks”. You can also do it afterwards with the bookmark next to the action.
How do I switch the suggestions off?
Under Settings → AI. Existing comments stay where they are.
