AI-first to-do system · for solopreneurs and teams

AI-first means the AI works inside your to-do list

In most apps AI is a button you can press. In Todowa it’s part of the system from the start: it reads new tasks, suggests what it can take over, does it with one click and, as an AI coworker, works through whole lanes. Seven examples show what that looks like day to day.

What “AI-first” means in Todowa

AI-first is more than a chat window next to your list. An AI-first to-do system is built so the AI knows every task and can work on it – with what your earlier tasks know and, if you like, with your tools. You decide what it does; it does the legwork.

  • The AI reads along: new inbox tasks get suggestions for what the AI can take over (with Pro, once switched on).
  • One click is enough: every suggested action is a button – draft, steps, checklist.
  • AI coworkers with a role: Paula writes user stories, Lena researches, Clara keeps an eye on invoices – automatically, too, as soon as a task enters their lane.
  • Open to your tools: via MCP to docs, tickets or calendars – and the other way round, Claude works with your tasks through Todowa’s MCP server.
  • Ask instead of searching: “What should I do next?” or “Are there duplicate tasks?” – by voice or text, to your whole to-do system.
  • No migration: Todowa syncs with Asana, Notion, Todoist, Monday.com and Google Tasks, so the AI sees everything in one place.

Example 1 · Solo: the customer enquiry almost answers itself

A customer emails to ask whether the homepage is included in your quote and when you can deliver. You forward the email to your Todowa address – it shows up as a task in your inbox.

A minute later the AI has commented: “Draft a reply to the customer”, “Create the next steps”, “Collect open points in the quote”. One click and the draft is in the comment. You change two words, copy it into your mail app, done.

Example 2 · Solo: your favourite action keeps coming back

For every new enquiry you do the same thing: sum up what’s wanted and draft a reply in the tone of your earlier quotes. You describe that once as your own action below the suggestions and tick “Suggest more often for similar tasks”.

From then on exactly that action comes first for every new task with similar words – “enquiry”, “quote”, “customer”. The system learns how you work without you maintaining rules.

Example 3 · On the go: from your phone to the inbox, the AI takes it from there

In a chat someone asks: “Can you send the workshop presentation by Friday?” You select the message, tap “Share” and pick Todowa. The task is in your inbox with the text as its description.

The AI suggests drafting an outline and creating the steps until Friday as subtasks. Back at your computer you open the task – the groundwork is already done.

Example 4 · Team: an AI coworker works through the lane

A feature request lands in the “Ideas” lane of the product board. That’s where Paula, your AI product owner, works: she writes a user story with acceptance criteria, breaks it into subtasks for development and content and moves the card on. Once all subtasks are done, the feature moves to “Acceptance” by itself.

You start from a project template with lanes and AI coworkers already set up – and adapt it to your team.

Example 5 · Team: the AI uses your tools – with approval

“Release notes 2.4 into the docs” – a typical task nobody likes. Your AI coworker is connected to the docs via MCP. It checks how earlier release notes are structured, prepares the new page the same way and puts creating it to you as a comment with “Run” and “Reject”.

Reading is allowed right away, writing only after your click – so you decide per tool how much the AI may do on its own.

MCP server for Claude

Example 6 · With Claude: tasks straight from the conversation

You go through next week’s plan with Claude. At the end you say: “Create these points as tasks in Todowa, with due dates.” Through Todowa’s MCP server Claude creates them – in Todowa and, through syncing, in Asana, Notion or Todoist too.

Example 7 · In the morning: what should I do next?

You’re at your computer and the day is full. Instead of going through the list, you tap the “Ask your to-do system” icon at the top and ask: “What should I do next?” The AI looks at the tasks that are due and answers in two or three sentences – with the tasks it relies on below. One click opens the first one.

On Friday you ask on your phone: “Are there duplicate tasks?” Two entries for the same quote – one from an email, one created by voice – you merge with one click; the notes and comments of both end up in one task.

For solopreneurs

You’re sales, project management and accounting in one person. Todowa takes the groundwork off your plate: emails and messages become tasks, the AI drafts replies and steps, reminders reach your phone and watch. All in one account, free to start.

For teams

As a team you share projects with permissions, hand tasks to colleagues or AI coworkers and keep the tools you already use. AI coworkers work in lanes, tools plug in via MCP, and up to five members are included in the free plan.

Why we’re building Todowa

Your tasks belong to you – not to your tools.

Tasks are spread across many tools, and none of them sees the whole picture. We’re building Todowa as an AI-first to-do system that fits into the ones you already use: tasks show up in your Notion database, in Asana, in Todoist and in Google Calendar, and AI matches up what belongs together.

Our goal for Todowa

What the AI-first to-do system can’t do yet

So you know what you’re getting:

  • The AI reads text, but not images or PDFs: it doesn’t know what’s in a screenshot.
  • The AI doesn’t open links itself – unless through a connected tool that can.
  • AI suggestions in the inbox come with Pro only; every check and action counts towards your AI allowance.
  • The AI only sends emails through a connected tool; otherwise you get a draft.
  • The AI doesn’t do what only you can do – call, go somewhere, pay.

Frequently asked questions

What is an AI-first to-do system?

Task management built for working with AI from the start: the AI knows your tasks, suggests what it can take over and does it at the push of a button – instead of being just a chat window on the side.

Is Todowa for solopreneurs or for teams?

Both. On your own you use the inbox, AI suggestions and reminders; in a team you add shared projects, permissions and AI coworkers in lanes.

Which AI is behind it?

Claude by Anthropic by default. You can also enter your own OpenAI-compatible endpoint in the settings; requests then go only there.

Do I have to give up my current tools?

No. Todowa syncs with Asana, Notion, Todoist, Monday.com and Google Tasks. The AI works in Todowa, and the results reach those tools through syncing.

What does it cost?

Todowa is free to use, with one AI coworker and an AI allowance. AI suggestions in the inbox and more time for AI coworkers come with Pro.
