The inbox: clear it once a day

The inbox is where everything not yet decided arrives. Clear it once a day and every task has its place – your list then only shows what is really due.

What lands in the inbox

The inbox sits at the top of “My tasks” and is highlighted. It holds:

  • every open task without a date that is not in the backlog
  • tasks someone else assigns to you – even with a date
  • tasks from syncing with Asana, Notion or Todoist, from automations, the API or Claude
  • emails you send or forward to your Todowa address
  • tasks an AI coworker hands back to you when done

Email to task

Clear it once a day

Take a few minutes every day, ideally in the morning, and go through the inbox from top to bottom. For each task decide:

  • When? – set a date: now, today, tomorrow, next week or any date. It then moves to its group.
  • Later, but don’t forget? – into the backlog. It waits there without a date until you bring it back.
  • How important? – set a priority so the important things stay on top.
  • Not at all? – delete it. What no longer matters shouldn’t take up space.

“Out of inbox”: only with a date or backlog

With “Out of inbox” in a row’s quick actions (right-click, ⋯ on a phone) or in the task panel you confirm you have seen a task. If it has a date, it leaves the inbox right away.

Without a date, Todowa asks: set a date – or it goes to the backlog. Otherwise a task without date and backlog would come straight back to the inbox; this way nothing stays undecided.

Back to the inbox

Want to decide on a task again? Push it back with “To the inbox” from the quick actions (right-click the row, ⋯ on a phone). It keeps its date and everything else and sits at the top of the inbox until you decide.

Why we’re building Todowa

Your tasks belong to you – not to your tools.

Tasks are spread across many tools, and none of them sees the whole picture. We’re building Todowa as an AI-first to-do system that fits into the ones you already use: tasks show up in your Notion database, in Asana, in Todoist and in Google Calendar, and AI matches up what belongs together.

Frequently asked questions

Why is a task with a date in my inbox?

Because it is new to you – from someone else, from syncing, by email, from an automation or an AI coworker. Confirm it with “Out of inbox”.

What happens to tasks without a date?

They stay in the inbox until you set a date or put them in the backlog.

Is the inbox the same for everyone on the team?

No. Everyone has their own inbox with the tasks they are responsible for.
