Mail to Todowa
Turn emails into tasks – just forward them
An email that is really a task doesn’t belong in your mailbox. In Todowa you get your own address: forward the mail, and it shows up as a task in your inbox – the subject as the title, the text as the description.

Why your mailbox is not a to-do list
Lots of tasks arrive by email: a question from a client, an invoice to pay, a meeting someone suggests. Left in the mailbox, they slide further down with every new message. Flags and stars help for a while – until there are too many of them.
It’s better to have one place for everything you need to do. Turning an email into a task means it gets a due date, a priority and a project – and your mailbox can be empty again.
How to turn an email into a task – in three steps
Set it up once; after that, forwarding is all it takes:
- Pick an address: under Settings → “Mail to Todowa” you create your address, such as mara@in.todowa.com – 3 to 30 characters of letters, digits, dots, hyphens and underscores.
- Forward: forward the mail from your email app to that address, or write one yourself – handy as a note to self, even on your phone.
- Decide: shortly afterwards the task is in your inbox. Give it a due date, put it in a project or move it to the backlog.
What the email turns into
The subject becomes the task title and the text becomes the description. Below it, Todowa notes the sender. Attachments come along: you see images right in the task and download PDFs and other files from there – up to 10 files per mail; a mail including attachments can be up to 40 MB. Logos from signatures are left out.
The task belongs to you and sits in the inbox at the top of “My tasks” until you sort it. It’s a regular task: add subtasks, add people, drag it into the calendar or hand it to an AI coworker. Put it in a project that syncs with Asana, Notion, Todoist, Monday.com or Google Tasks, and it shows up there like any other task.
Instead of your address you can also use a plus variant, such as mara+invoices@in.todowa.com. Those mails land in the same inbox.
From Outlook, Gmail, Apple Mail or Thunderbird
You don’t need an add-in or extension. Todowa accepts mail from any email app – in Outlook, Gmail, Apple Mail, Thunderbird or the mail app on your phone, “Forward” is all it takes. Save the address as a contact and it’s just a couple of keystrokes away.
What matters is which address you forward from: your account address is always approved. If you forward from another mailbox, such as a shared office inbox, add that address as a sender once and confirm it.
Secure: approved senders only
Your Todowa address shouldn’t be a way for strangers to put tasks on your list. That’s why not every email becomes a task:
- Your account address is always approved; you confirm further addresses via a link Todowa sends to that address.
- If an unknown sender writes to you, you get a notification email. The mail waits under “Mail to Todowa” for up to 7 days for “Approve” or “Discard”. If you approve it, future mails from that sender become tasks too.
- Mails with a forged sender (DMARC and SPF checks), spam and viruses are discarded.
- At most 50 tasks per day are created by email – so a mail loop can’t flood your inbox.
Why we’re building Todowa
Your tasks belong to you – not to your tools.
Tasks are spread across many tools, and none of them sees the whole picture. We’re building Todowa as an AI-first to-do system that fits into the ones you already use: tasks show up in your Notion database, in Asana, in Todoist and in Google Calendar, and AI matches up what belongs together.
Our goal for TodowaWhat doesn’t work yet
Todowa doesn’t read a project, due date or tags from the email; the task always lands in the inbox and you sort it there. The mail server doesn’t accept mails over 40 MB, and if your storage is full the task only lists the attachment names, and an email to a Todowa address doesn’t become a comment on an existing task.
Frequently asked questions
How do I turn an email into a task?
Create your address under Settings → “Mail to Todowa”, such as name@in.todowa.com, and forward the email there. Shortly afterwards it’s a task in your inbox: subject as the title, text as the description.
Does it work with Outlook and Gmail?
Yes, with any email app. Just forward the mail – no add-in needed. If you forward from a mailbox other than your account address, confirm that address as a sender once.
Are attachments included?
Yes. You see images right in the task and download PDFs, Word files and the like from there. Up to 10 files per mail come along; a mail including attachments can be up to 40 MB. The files count towards your account’s storage (1 GB, 10 GB with Pro).
Can anyone write to my Todowa address?
Anyone can write, but only mail from an approved sender becomes a task. Mail from unknown senders waits up to 7 days for your approval, and you get a notification email. Forged senders, spam and viruses are discarded.
Can I set a project or due date by email?
Not yet. The task lands in your inbox, where you set the date and project with one click.
Does Mail to Todowa cost extra?
No. Your own address is included in every plan, including the free one – with up to 50 tasks per day.
