Find duplicates
Find duplicate tasks and merge them with one click
Forwarded once by email, jotted down quickly on your phone, synced in from Asana – and suddenly the same task is in your list twice. Ask Todowa “Are there duplicate tasks?”: you see groups of similar tasks, choose which one stays and merge them. Nothing that was in the duplicates gets lost.

Where duplicate tasks come from
The more ways lead into your to-do list, the more likely something ends up there twice: an email to your Todowa address and the same request again by voice, a task you and a colleague created independently, or tasks that come together from several tools through sync.
Duplicates are more than a cosmetic issue: the notes are in one task, the comment in the other, and only one gets ticked off.
How to find duplicate tasks
The duplicate search is part of “Ask your to-do system”:
- Tap the icon at the top centre (phone) or in the header bar (computer)
- Say or type “Are there duplicate tasks?”, or tap it as an example question
- Only want to check one project? Say so: “Are there duplicate tasks in the Website relaunch project?”
- Todowa shows the groups of possible duplicates; you can open and look at every task first
How Todowa spots duplicates
Todowa compares the titles of your open tasks: the same words, even in a different order, and titles with small differences such as “Book dentist appointment” and “Book dentist-appointment”. Filler words like “for” or “the” don’t count, and neither does upper or lower case.
Todowa does the comparison itself. The AI only recognises that you’re asking about duplicates – and whether you want to limit it to a project or a keyword.
Merging: what comes along
In each group you use the round radio button to choose the task that stays – the oldest is preselected. “Merge” adds the rest to it:
- The others’ descriptions go below its own, each with a note saying which task they came from
- Comments, subtasks and tags move over
- If the remaining task has no due date or priority, it takes those of another one
- The other tasks are deleted; the remaining one’s history shows “Duplicate task merged into this one”
Duplicate tasks from Asana, Todoist, Notion and Google Tasks
Todowa syncs your tools in both directions. That’s why you also find duplicates here that came about in different ways – the same task in Todoist and in Asana, for example.
If a synced task is deleted while merging, sync treats it like any deleted task: in the original tool it’s marked as deleted or completed, and nothing is permanently deleted there. Description, comments and subtasks are then in the remaining task.
Why we’re building Todowa
Your tasks belong to you – not to your tools.
Tasks are spread across many tools, and none of them sees the whole picture. We’re building Todowa as an AI-first to-do system that fits into the ones you already use: tasks show up in your Notion database, in Asana, in Todoist and in Google Calendar, and AI matches up what belongs together.
Our goal for TodowaWhat the duplicate search can’t do yet
So you know what you’re getting:
- It recognises similar titles. Two tasks that mean the same thing but are named completely differently aren’t found; descriptions aren’t compared. Very short titles aren’t compared.
- Open tasks are checked, up to 800 at a time; up to 30 groups are shown.
- There’s no “Undo” for merging.
- Only on request: Todowa doesn’t yet warn you about a possible duplicate when you create a task.
- Tasks someone else created in a project shared with you can’t be merged into another task – they would be deleted, and there you may only delete your own.
- The question counts towards the monthly AI allowance; the comparison and merging themselves don’t.
Frequently asked questions
How do I find duplicate tasks in my to-do list?
Open “Ask your to-do system” – the icon at the top centre on your phone or in the header bar on your computer – and ask “Are there duplicate tasks?”. Todowa shows groups of tasks with very similar titles.
Is anything lost when merging?
No, the important parts come along: descriptions, comments, subtasks and tags go into the task that stays; if it has no due date or priority, it takes those over. The other tasks are deleted afterwards.
Can I choose which task stays?
Yes. The oldest is preselected; use the radio button in front of each task to pick another.
Does it work with tasks from Todoist, Asana or Notion?
Yes, once those tools are connected to Todowa. The deleted duplicate is marked as deleted or completed in the original tool, not permanently deleted.
Does it cost anything?
The duplicate search is included in every plan. The question to “Ask your to-do system” counts towards the monthly AI allowance.
